This Privacy Policy explains how SeatNow ("SeatNow," "we," "us," or "our") collects, uses, shares, and protects personal information when you use the SeatNow website and services (the "Service"). By using the Service, you agree to the practices described here. This policy works alongside our Terms of Service.
1. Overview of our role
SeatNow plays two roles. For the accounts of restaurants and staff who sign up, we act as the business responsible for that data. For the guest information that a restaurant enters into the Service (names, phone numbers, party details), the restaurant is the controller and SeatNow is a processor acting on their behalf — see Section 8.
2. Information we collect
Account information
When you create an account, we collect information such as your email address, password (stored in hashed form by our authentication provider), and any business or display name you provide.
Restaurant guest data
When staff add guests to a waitlist, the Service stores the information they enter — typically guest name, phone number, party size, and wait/visit timestamps. This data is entered and controlled by the restaurant, not by SeatNow.
Payment information
If you subscribe to a paid plan, payment is processed by a third-party payment provider. We do not store full card numbers. We retain limited billing details such as your subscription status, plan, billing interval, and a display label for your payment method (for example, "Visa •••• 4242").
Usage and device data
Like most online services, we and our infrastructure providers automatically collect technical information such as IP address, browser type, pages viewed, and log/diagnostic data, used to operate, secure, and improve the Service.
3. How we use information
- To provide, maintain, and operate the Service, including the live waitlist and notifications;
- To process subscriptions and payments and to manage your account;
- To respond to your requests and provide customer support;
- To secure the Service, prevent abuse, and debug or improve performance;
- To comply with legal obligations and enforce our Terms.
4. How we share information; sub-processors
We do not sell your personal information. We share information with service providers ("sub-processors") that help us run the Service, under contracts that require them to protect it:
- A cloud infrastructure provider — database, authentication, and realtime infrastructure where account and guest data are stored;
- A payment processor — payment processing for paid subscriptions;
- A hosting provider — hosting and delivery of the website and application.
We may also disclose information if required by law, to protect our rights or the safety of others, or in connection with a business transfer such as a merger or acquisition.
5. Data retention
We retain account information for as long as your account is active and as needed to provide the Service. Restaurant guest data is retained according to the restaurant's use of the Service; terminal waitlist entries may be purged automatically over time. We may retain certain information as required for legal, accounting, or security purposes.
6. Security
We use technical and organizational measures — including encryption in transit, access controls, and reputable infrastructure providers — to protect personal information. No method of transmission or storage is completely secure, however, and we cannot guarantee absolute security.
7. Your rights and choices
Depending on where you live, you may have rights to access, correct, delete, or export your personal information, or to object to or restrict certain processing. To exercise these rights for an account you control, contact us at support@seatnow.app. If your request concerns guest data held by a restaurant, please contact that restaurant directly, as they control that information.
8. Restaurant guests
If you were added to a waitlist by a restaurant using SeatNow, the restaurant decides what information to enter and why. SeatNow processes that information only to provide the waitlist service to that restaurant. For requests about your data — including access or deletion — please contact the restaurant that added you. We will support restaurants in responding to such requests.
9. Cookies and local storage
The Service uses cookies and similar browser storage to keep you signed in, remember preferences, and operate core functionality. Guest status links may use a token in the URL or local storage so a guest can reload their place in line. You can control cookies through your browser settings, though some features may not work without them.
10. Children's privacy
The Service is intended for businesses and is not directed to children under 13 (or the equivalent age in your jurisdiction). We do not knowingly collect personal information from children. If you believe a child has provided us information, contact us and we will take appropriate steps to delete it.
11. International data transfers
We and our sub-processors may process and store information in countries other than your own. Where required, we take steps to ensure appropriate safeguards are in place for such transfers.
12. Changes to this policy
We may update this Privacy Policy from time to time. If we make material changes, we will update the effective date above and, where appropriate, provide additional notice. Your continued use of the Service after changes take effect constitutes acceptance of the updated policy.
